Privacy statement

Below follows our privacy statement on behalf of TaxConsultants International B.V. (hereinafter referred to as TAXci).

In this document we describe how we respect the privacy of the visitors and users of our TAXci website.

In this privacy statement personal data is defined as: Data relating to a natural person that can be traced back directly or indirectly to that person, such as your name or contact details.

Collection, Use, Disclosure, Registration, and Storage of Data

You do not need to register, subscribe, or log in to use the TAXci website. When you visit our website we do not collect any personal data except - to a limited extent - through cookies, which we will explain below.

If you wish to make use of our contact form, our complaints form, our free calculator, or subscribe to the TAXci newsletters or other marketing communications, we will respond to your request in the most appropriate manner via e-mail, by post, or by telephone.

Depending on the preferences you indicate during subscription, we may send you newsletters or other marketing communications such as invitations for special celebrations, receptions, events, presentations, and training sessions, and information about our services, publications, and products via e-mail or by post. In accordance with the procedures described and within the conditions to be indicated below, you can request us by e-mail at any time to no longer receive this information, to remove you from our mailing list, and to remove your personal information from our systems.

If you subscribe to our newsletters and other marketing communications via our website, your personal data is stored in our Automatic Response System. In accordance with the procedures described and the preconditions to be specified below, you may request us to remove your personal data from our Automatic Response Database. Data of users who have not been actively used for twelve months will be removed from our Automatic Response Database. Your name will then be listed on the opt-out list to prevent you from receiving any more newsletters or marketing communications from TAXci.

Your relationship with TAXci as a client is subject to our General Terms and Conditions as filed with the Dutch Chamber of Commerce (Kamer van Koophandel, KvK) on August 13, 2010. In accordance with Article 6 of these General Terms and Conditions, TAXci is obliged to maintain the confidentiality of privacy-sensitive information within the conditions stipulated in that Article. On your first request, we will be happy to provide you with a copy of our General Terms and Conditions and we will inform you about the measures we have taken to guarantee the privacy of the personal data of our clients and relations and to comply with the other legal obligations related to privacy.

Below we describe in more detail how we collect data and what we do with it:

Contact Form

The TAXci website has an option to communicate with TAXci using an online contact form. You will be asked to provide your personal data such as your name, address, e-mail address, and telephone number, and asked to disclose your request or question to TAXci. The personal data provided in this contact form are used only for the processing of your question or request. The digital contact form generated by our website is automatically removed after twelve months.

If you do not become a client as a result of this contact, we will only include your data in our Automatic Response Database if you give your express consent to do so.

Complaints Form

TAXci has a complaints procedure for complaints from clients, potential clients, and contacts. This procedure includes the use of an online form in which you are asked to provide personal data including your name and address and to substantiate your complaint. The personal data provided in the online complaint form will only be used by us to process your complaint in accordance with our complaints procedure. The digital complaints form generated by our website is automatically removed after twelve months.

Free Calculator

Our online Fee Calculator allows you to receive an automated cost estimate for your tax return in a few short steps. The information you provide for this will be used to follow up your request. If you do not become a client as a result of this contact, we will only include your data in our Automatic Response Database if you give your express consent to do so.

News Letters and Other Marketing Communications

TAXci offers visitors to its website the option to subscribe to our newsletters and other marketing communications. Once you subscribe, we collect all your general contact details such as your name and e-mail address and store these in our Automatic Response Database. Our newsletters and other marketing communications sent to you via e-mail contain the option to unsubscribe yourself or your company from any future newsletters and marketing communications via an e-mail that is then sent from the same e-mail address. After receiving your e-mail your personal data is removed from our Automatic Response Database. Your name will then be listed on the opt-out list to prevent you from receiving any more newsletters or marketing communications from TAXci.

Downloading White Papers and Other Expertise Materials

TAXci may, when you download digital files from the website such as white papers, publications, articles, surveys, reports, analyses, brochures, etc., require registration of your personal data and offer you the opportunity to subscribe to newsletters and other marketing communications. Personal data may be requested via these downloading, registration, or subscription forms. TAXci reserves the right to distribute certain Expertise Materials and to allow downloading of files only to those who have provided the requested information. The personal data provided for this purpose will be stored in our Automatic Response Database. On your first written request letter or e-mail with confirmation of receipt, your personal data will be removed from our Automatic Response Database. Data of users who have not been actively used for twelve months will be removed from our Automatic Response Database. Your name will then be listed on the opt-out list to prevent you from receiving any more newsletters or marketing communications from TAXci.

Subscribing to Receiving Information for Events (special celebrations, training sessions, presentations, workshops, etc.)

TAXci may request that you register for events via the TAXci website or, in some cases, via the website of a third party. The registration forms for those events may collect personal data and the type of data collected may vary from one form to another. TAXci may provide information about the registrants in connection with the event to third parties to the extent that this follows from the nature of the registration and is necessary to enable participation in the event.

Examples of third parties include hotels, financiers and co-financiers, event promoters, event organizers (also in case of registration via websites of third parties), speakers, panel members, etc. For an understanding of how your data can be used and stored, we recommend that you refer to the specific information provided for each individual event.

TAXci Client Portal

If TAXci has granted you access rights to the TAXci Client Portal, we recommend that you review the privacy statement that applies to this service in its entirety. This privacy statement appears when you log in to the TAXci Client Portal.

Special Personal Data Categories

We only retain your personal data for the purpose for which it was collected or to the extent necessary for legitimate purposes as required or permitted by law. TAXci does not knowingly collect special categories of personal data (sensitive personal data) via the TAXci website. If we collect this category of personal data, this is only if there is a legal obligation to do so. Sensitive personal data include data about race or ethnicity, political opinions, religion or belief, trade union membership, genetic or biometric data if processed solely for the purpose of tracing it back to a natural person, data about health, data about sexual life or sexual orientation and, in some cases, BSN numbers (burgerservicenummer, citizen service number) or financial data.

Security

TAXci shall endeavor to protect the confidentiality and security of the data obtained by it in the course of its business. Access to such data is restricted and policies and procedures are in place to protect the data against loss, misuse, and improper disclosure.

Disclosure of Personal Data to Third Parties
TAXci may only disclose your personal data outside its organization for the following reasons:

  • If necessary to comply with your request which involves a third party organization with which TAXci has a relationship; or
  • If you, as a visitor to our website, expressly request this; or
  • By order of court or other legal requirement or regulation; or
  • If the disclosure reasonably relates to the sale or other disposal of all or part of our business.

TAXci may use external service providers for, for example, IT services and other support for the management of its website and the functionalities associated with it.

Links to Third Parties

Please note that the TAXci website may, occasionally, contain links to other sites to which this privacy statement does not apply. Visitors to the TAXci website may be directed to third party sites for more information. TAXci is not responsible and does not provide any guarantees for the storage and use of your personal data on third party servers. We recommend that you take note of the privacy statement on the website of any third party to which you are directed from the TAXci website if you wish to know how your personal data will be handled.

Transfer of Personal Data to Third Parties

TAXci is a professional organization with the highest ethical standards and has an active privacy-compliance policy for its employees.

TAXci will only share your personal data with third parties if the provision of services makes this necessary and only if third parties have declared in writing that they provide an adequate level of protection for these data. For our data policy for the TAXci Client Portal and our services to clients, we refer to specific privacy statements and our General Terms and Conditions.

Verifying Personal Data

TAXci does not collect or process personal data obtained through the TAXci website for distribution or sale to third parties for consumer marketing purposes. TAXci also does not host mailings for third parties.

You have the right to request information about the personal data we process about you. TAXci enables you to check your personal data for accuracy and to keep them up to date. If at any time you wish TAXci to correct or delete your personal data or restrict their processing, or if you wish to know whether or not your personal data are being processed by TAXci, or if you wish to see your personal data or decide to exercise your right to data portability or to withdraw your consent to processing, please contact us.

Your Communication with TAXci about Your Personal Data - Legal Identification

We treat privacy and the protection of your personal data with the utmost care. We may only communicate with you about your personal data recorded by us, including the provision of access to your personal data known to us or the modification thereof, if your identity can be established by us in such a way that there is no reasonable need to doubt your identity. Each TAXci employee is free to determine at their own discretion whether this condition is met on the understanding that this condition must always be deemed to be met if (A) you accompany your request with a legalized copy of your passport or other legal means of identification by registered letter signed by you, or (B) you make an appointment with one of our employees for a personal visit and during this visit you are able to identify yourself with a legally valid passport or other legal means of identification, or (C) you are represented by a legally valid third party in a request as described under (A) and (B) and this representative has a legal authorization and is able to identify themselves in the manner described above under (A) or (B). We will never provide personal data by telephone.

Unsubscribing from Newsletters and Other Marketing Communications

Our newsletters and other marketing communications sent to you via e-mail contain the option to unsubscribe yourself or your company from any future newsletters and marketing communications via an e-mail that is then sent from the same e-mail address. After receiving your e-mail your personal data is removed from our Automatic Response Database. Your name will then be listed on the opt-out list to prevent you from receiving any more newsletters or marketing communications from TAXci.

Our newsletters and other marketing communications sent by post include the option to unsubscribe from future newsletters and other marketing communications by telephone, e-mail, or in writing. After receiving your e-mail your personal data is removed from our Automatic Response Database. Your name will then be listed on the opt-out list to prevent you from receiving any more newsletters or marketing communications from TAXci.

Deleting Your Personal Data

Your personal data will be removed from our Automatic Response Database[SI1]  on your first request.

Your name will then be listed on the opt-out list to prevent you from receiving any more newsletters or marketing communications from TAXci. Also see Unsubscribing from Newsletters and Other Marketing Communications.

You may also request us to remove your personal data from our other databases and records. We will comply with your request unless our business operations or a legal obligation to retain this information dictates otherwise.

After receiving your request for removal, your personal data is removed from our Automatic Response Database.
